    THE CHALLENGE

Procopio was faced with two key challenges: mitigating client and firm level risks, and optimising the firm’s staff to deliver outstanding customer service while facing increasing cost pressures from clients.

Procopio’s Management Committee tasked Chief Operating Officer, Jim Perkins, with conducting a review of the firm’s IP docketing processes.

An unusual route to Chief Operating Officer: from rugby player to legal executive

Jim Perkins’ career captures the essence of the unique qualities of Procopio and its leadership. A rugby enthusiast from England, he was educated in the United Kingdom and the United States, culminating in a MBA from the University of Chicago and a PhD from the University of Surrey, UK.

Jim’s varied career reads like a list of childhood dream jobs: nuclear engineer; security advisor; rugby player and US national coach; successful entrepreneur. What led this non-lawyer to run the operations (including finance, marketing, administration and human resources) of a leading US law firm?

    THE BEGINNING OF A PARTNERSHIP

CPA Global was introduced to Jim following a peer recommendation. CPA Global is the world’s leading IP management and technology company. Trusted by many of the world’s most respected corporations and law firms, CPA Global empowers its clients to achieve excellence in IP management and realise the potential of ideas.

CPA Global helps law firms by supporting the day-to-day delivery of IP tasks and providing the right information to enable IP Attorneys to make better decisions and help their clients more effectively. CPA Global’s integrated suite of IP software, services and information is underpinned by an outstanding team of more than 2,000 IP professionals, working together to help customers deliver strategic value.

Heading the team at CPA Global was Jayne Durden, VP, IP Solutions Architecture. Jayne is a qualified trademark attorney and solicitor with experience in large and boutique law firms in the US and Australia, where she provided professional support to in-house legal counsel in the development of IP strategies. Jayne has unique insight into the challenges faced by law firms, enabling her to make recommendations around reducing risk and delivering lean processes. She leads a team that works with law firms and corporate IP departments to determine their challenges and work to create tailored solutions.

Jayne’s team offers prospective clients a unique IP Diagnostic service. This process delivers expert analysis of an IP operation, focusing on best practice use of people, processes and technology to mitigate risk, increase efficiency and profitability. All of which helps law firms attract and retain clients.

The IP Diagnostic involves a three part process:

    • Project planning: understanding the key objectives of the law firm and the exact scope of the engagement
    • Investigation: on-site interviews with team members including partners, attorneys and paralegals. This can also include observational analysis and time and motion studies
    • Analysis: this phase analyses the findings and recommends best practices such as a combination of technology, consultancy and outsourcing

Having conducted a thorough IP Diagnostic with the Procopio IP department, Jayne was able to provide recommendations to Jim that he endorsed to the firm’s partners.

To mitigate risk in the patent and trademark prosecution process and ensure the most effective solution for Procopio, CPA Global recommended the deployment of two of the company’s software products:

    • First to File automates the storage and management of IP documents, minimises paper storage, enhances collaboration between clients, and increases productivity in law firms
    • FoundationIP enables law firms to have a comprehensive view and gain control of their IP management, providing reminders of dates, communications and documents in one intuitive software programme

Further, CPA Global recommended that Procopio trust it with the responsibility for timely payments of renewals with a full patent exit.

With formidable expertise and proven efficiency, CPA Global has been successfully managing and protecting IP since the 1960s. At the heart of its extensive IP services are its mature processes – tried, tested and trusted for more than 45 years. This gave Procopio considerable peace of mind that their client’s assets were in safe hands. This approach was endorsed by the IP partners at Procopio, who made the strategic decision to partner with CPA Global.

    PEOPLE, PROCESS AND TECHNOLOGY

The final implemented solution significantly reduced the risk of missing IP renewals and docketing deadlines. It also delivered a more efficient solution for Procopio, highlighting where the firm could reduce costs to clients.

Jim believes that this enlightened approach offered significant benefits for Procopio. “Procopio takes a strategic view about our technology and consultancy partners.

Our extensive collaboration with CPA Global may not have been possible had it not been for Procopio’s openness to new ideas and CPA Global’s professionalism and global reputation. This has delivered significant dividends in terms of improved efficiencies and reduced cost.”

“CPA Global helped immensely in this process because the key personnel had all been active lawyers or corporate IP professionals in the past. CPA Global understood what we were trying to achieve, how to go about it and how best to make it happen. This transformed them from supplier to strategic partner.”
